Position: Executive Assistant

The Executive Assistant will provide administrative support to the executive team, acting with little supervision, anticipating needs while managing the day‐to‐day functions of our small business, as well as a wide range of special projects.  The primary responsibility will be to enable the CEO and CFO to work more efficiently and effectively towards reaching the organization’s growth goals.  Honest and hard-working characteristics are honored above everything.


Essential Functions


  • Arrange meetings, travel, and appointments and provide reminders

  • Assists in preparation and distribution of agendas and other various projects

  • Reserves and coordinates travel itineraries including accommodations for flight, hotel, car, and conference registration

  • Ensure completion of essential projects and meet critical deadlines through proven priority methodologies

  • Monitors projects and goals progress

  • Suggest more efficient ways to manage the office and troubleshoot malfunctions

  • Creation and oversight of the Company’s Policy and Operations Manuals; Review and recommend changes as needed



  • Organizes, plans, and maintains in-office calendar, daily task list and contacts for CEO & CFO by communicating on a regular basis

  • Coordinates and schedules meetings, conferences, and other events for the CEO & CFO

  • Arrange and facilitate company events

  • Handles general administrative duties including typing, faxing, copying, scanning, electronic filing, and mailing

  • Maintain and update internal databases

  • Answer phone and email inquiries appropriately



  • Collect and assemble information for presentations, projects, and strategic planning

  • Attends meetings for the purpose of taking meeting minutes and follow up on key take away from the meetings

  • Basic knowledge of real estate industry

  • Comfortable working in a virtual environment

  • Ability to multi-task while maintaining careful attention to detail

  • Ability to work effectively both individually and within a team environment

  • Ability to uphold a strict level of confidentiality

  • Ability to work with a sense of urgency to meet deadlines and address competing priorities

  • Ability to demonstrate advanced proficiency by researching and/or quickly adapting to new technology

  • Advanced organizational skills

  • Proficient skills with Microsoft Office software including Google Suite, Word, Excel, PowerPoint, and Outlook

  • Experience in JotForm, Trello, Airtable, and Zapier

  • Effective written, listening, and verbal communication skills

  • Effective problem solving and organizational skills


  • Minimum of a High School Diploma or GED required

  • Associates or bachelor’s degree preferred


  • Minimum of one year administrative or clerical experience required

  • Experience as an executive assistant or related administrative position desired
